Who is it for?

The workbook is for executives, boards, and teams in risk, compliance, legal, technology, product, operations, human resources, and governance. It is especially relevant when an AI-shaped decision can affect a person’s opportunities, treatment, or access to services.

Use it in a procurement review, pilot plan, AI council meeting, risk committee discussion, vendor renewal, or review following a complaint or incident. Start with one defined decision and bring together the people who can explain the workflow and own its consequences.

Try a sample: define the decision before reviewing the tool

This short exercise is adapted from the Gate 0 intake and role-definition check. Choose a proposed AI use and write down the following with your team:

  1. The decision. What decision, ranking, recommendation, summary, or action will AI influence?
  2. The people affected. Whose opportunity, treatment, or access could change if the output is wrong?
  3. The AI role. Will it provide administrative support, support a human decision, or automate the decision? What happens by default?
  4. Human authority. Who reviews the output, who can override it, and who can stop use?
  5. The evidence gap. What remains unclear or unsupported? Name an owner and the action needed before the review can move forward.

If the team cannot agree on these answers, record the gap. Completing this intake starts the review; the full Gate 0 worksheet also examines baseline duties, data stewardship, inequality and lifecycle effects, accountability, and organizational and vendor readiness.

How should a team use the worksheets?

Start with AIM on One Page, then define the decision and AI role in Gate 0. Use the Triangle to examine stakeholder relationships and the Orbit to consider wider effects. Record the decision, conditions, evidence, owners, recourse, monitoring, and stop authority in the memo and supporting records.

Revisit those records before a pilot, deployment, expansion, renewal, or material vendor change—and after a complaint, incident, or drift signal. The workbook’s 0–2 scoring guide asks whether a condition is absent, partly satisfied, or operational and supported by evidence. A score needs an explanation and an owner.
